Part 1 — Terms of Use
1. Who we are & what this is
The Eco-Warriors program is an employer/institution recycling-rewards program under Trash to Cashback (TTCB), operated by BeepXtra PH Inc. ("bXTRA PH") together with Basic Environmental Systems & Technologies, Inc. ("BEST"), and offered to participating institutions (the first being Concentrix). The program is currently a pilot: features, figures, and these terms may change as it matures.
2. Who these terms cover
| Stakeholder | What you use | Key obligations |
|---|---|---|
| Eco-Warriors (institution employees) | The Eco-Warrior app: recycle, earn EP, redeem, leaderboards, sharing | One account per person, use your own work/personal email, no faking drops |
| Institution admins (e.g. Concentrix HR/CSR) | Corporate dashboard: rollups, missions, announcements, recruitment, ops | Use aggregate data internally only; external publication needs written sign-off |
| Ground staff / attendants (BEST · TTCB site staff) | The Ground Station app: scan a warrior's code, record verified drops | Record only real, weighed deposits; credit the presented email only |
| Partner stores & recruited stores | Redemption network membership; the public partner sign-up page | Honour EP redemptions per your partner agreement; keep listings accurate |
| Visitors / demo users | The public demo (?demo=1) and info pages | Demo data is illustrative; no account is created |
3. Accounts & identity
- Your email address is your identity in the program. Drops are credited to the email you give at a drop-off point (or via your Eco-Warrior QR code).
- Enrollment uses your institution's company code or invite link. You choose at enrollment whether to participate and whether to appear on leaderboards.
- A full bXTRA account (for redeeming at partner stores) is created with your consent during registration and is governed additionally by the bXTRA PH terms at bxtra.ph.
4. Environmental Points (EP)
- EP is earned only on a verified recycling deposit — weighed and recorded by authorized staff. Self-logged drops build your habit streak but do not earn EP by themselves.
- Redemptions are fulfilled through the bXTRA portal (bxtra.ph). Where offered, a redemption must cover the goods in full; delivery fees are paid separately (e.g., cash on delivery). Sponsored/custom rewards are requests reviewed by the TTCB team, not instant entitlements.
- We may correct EP balances affected by error, system fault, or fraud, and may suspend accounts involved in gaming the program (e.g., fabricated or recycled-material-shuffling deposits).
- EP has no expiry during the pilot; any future change will be announced in advance inside the app.
5. Acceptable use
- No fraudulent deposits, no impersonating another member, no use of another person's email or QR code.
- No scraping, probing, or interfering with the service; no attempt to access another member's or another institution's data.
- Ground staff may use the Ground Station only for its purpose: crediting genuine drops to the presented identity at their assigned location.
- Store recruitment ("invite a shop") must be in-person and consent-based — no cold spam. Submitted leads are reviewed by the TTCB team before any store goes live.
6. Institution reporting
Dashboards, ESG figures, and CO₂e estimates are provided for internal program management. CO₂e uses cited public emission factors (US EPA WARM v16) and tree-year equivalents are illustrative. External or regulatory use of any figure requires written permission and accuracy sign-off from BEST, bXTRA PH, and the institution.
7. Service, changes & liability
- The service is provided "as is" during the pilot. We work to keep it available and accurate but do not guarantee uninterrupted operation.
- We may update features and these terms; material changes will be posted here with a new version number and date.
- To the extent permitted by Philippine law, bXTRA PH's and BEST's liability in connection with the pilot program is limited to re-crediting wrongly deducted EP.
- These terms are governed by the laws of the Republic of the Philippines.
Part 2 — Privacy Policy
This policy explains how the program handles personal data, in line with the Data Privacy Act of 2012 (RA 10173) and its IRR. The personal information controller for program data is BeepXtra PH Inc., with BEST as processor/co-controller for drop-off and buyback records.
8. What we collect — per stakeholder
| Stakeholder | Data | Why |
|---|---|---|
| Eco-Warriors | Name, email (canonical identity), org placement (city · building · department), consent flags, verified drop records (date, centre, materials, kg, EP, reference no.), habit log, EP balance & redemptions, badges/level | Credit your drops, compute your EP and impact, run leaderboards within your own group, fulfil redemptions |
| QR code | Encodes only: program version, institution id, your email, first name. Never card numbers. | Lets staff credit your drop in one scan; works at any TTCB site |
| Device location (optional) | Used on your device only to sort nearby redeem products; it is not sent to or stored on our servers | "Deliver to my location" convenience — you can simply not grant it |
| Ground staff | Staff/site identifier, the drop records they enter, per-shift totals | Accountability and traceability of every verified deposit |
| Partner-store leads | Store name, contact person, phone/email, city, the recruiting warrior's id | Reviewing and onboarding the store; crediting the recruiter |
| Institution admins | Admin account id, actions taken (announcements, missions, roster changes) | Program administration and audit |
| Demo users | No account is created; sample data lives in your browser session | Letting anyone try the app safely |
9. The employer data firewall
10. How data is shared
- BEST / TTCB — operates drop-off centres and the recycling ledger of record (your deposits and buyback values).
- bXTRA PH — operates your rewards account and the redemption marketplace (bxtra.ph).
- Service providers — Cloudflare (hosting/edge/database), our internal operations tools (workflow automation, an operations workspace for lead follow-up and weekly aggregate digests), and our email provider for program notifications. Providers process data only to run the service.
- No selling of personal data. No advertising use. Aggregated, de-identified statistics (e.g., total kg recovered) may be used to report program impact.
11. Security & retention
- Traffic is encrypted (TLS); access is role-scoped (member vs. institution admin vs. operator) and enforced server-side.
- Verified deposit records are retained for the life of the program as the basis of EP and environmental claims; account data is deleted or anonymized on verified request when no longer legally required.
- The program is intended for participants 18 years or older (a workplace program).
12. Your rights (RA 10173)
You may access your data, ask us to correct it, object to processing, ask for erasure/blocking where warranted, and withdraw consent (which ends program participation but does not undo already-verified environmental records). You may also complain to the National Privacy Commission (privacy.gov.ph). To exercise any right, contact us below — we respond within the periods required by law.
